Collections

A collection is one complete cycle of Visbee querying all your prompts across all your AI platforms and recording the results. When a collection finishes, every widget on your Dashboard updates to reflect the new data. Collections are the engine that keeps your visibility data fresh.

When a collection starts, Visbee submits each of your prompts to each AI platform your plan covers (up to five: ChatGPT, Claude, Perplexity, Grok, and DeepSeek). It captures the full response from each platform, checks whether your brand or any of your competitors appears, detects sentiment, and records the sources cited.

During this process, your dashboard shows an “Analyzing” state. The underlying data does not change until the collection completes, so any numbers you see mid-run reflect the previous collection. Once the run finishes, all widgets update at once.

Collection frequency depends on your plan. Collections are scheduled automatically; you do not trigger them manually.

An “active day” is a day on which Visbee is scheduled to run collections. You do not need to be logged in or using the app on those days.

  • Trial and Starter — collections run on approximately 3 active days per week. ChatGPT runs every active day; Perplexity and Grok alternate.
  • Growth and Agency — collections run on approximately 5 active days per week. ChatGPT runs every active day; Perplexity and Grok alternate with Claude and DeepSeek.

If you are unsure what cadence your plan includes, check your account settings or your plan documentation.

Most collections complete in 5 to 15 minutes. Occasionally a run takes longer if one or more AI platforms is responding slowly or rate-limiting requests. Visbee handles retries automatically in these cases, so you do not need to do anything. The dashboard will continue to show “Analyzing” until the run concludes.

If a collection fails for any reason, Visbee retries it automatically. Most transient failures (network timeouts, temporary platform unavailability) resolve on their own. If a collection stays in a failed state for an extended period without recovering, reach out to the team. See Troubleshooting for common issues and steps to check.

Once a collection completes, head to the Mentions and sentiment page to review the individual AI responses that were captured. That view shows you exactly which platforms mentioned your brand, in what context, and with what sentiment, so you can move from the top-level score to the underlying evidence.

If you edit your brand details or add a new competitor, the change takes effect in the next collection run. Historical collections are not retroactively updated, which means your trend chart reflects what the data looked like at each point in time, based on the prompts and brand profile that were active then.
